Administration agent


Jeunesse Idem is a community organization that aims to improve the quality of life of gay, lesbian, bisexual, trans and questioning young people aged 7-35, as well as to raise awareness among the population of the Outaouais region of the realities of the diversity of sexual orientations and gender identities.

Job description 

Under the responsibility of the organization's employer, the incumbent provides support to the administration coordinator. The person participates in team meetings, welcomes and meets the needs of people who come in person or by phone.   Keeps office equipment and stationery up to date, takes care of filing, writes texts and makes tables as well as other administrative and clerical tasks.

Responsibilities and Tasks 
  • Greet visitors, determine the purpose of their visit and direct them to the employer or assigned person;

  • Prepare, type, revise and proofread correspondence, invoices, presentations, brochures, publications, reports and other related documents from dictated or handwritten notes;

  • Open and distribute postal and electronic mail and other documents received and coordinate the circulation of information internally and with other departments and organizations;

  • Prepare and send invoices;

  • Order office supplies and maintain inventory;

  • Respond to inquiries received by telephone and e-mail and forward telephone calls and messages;

  • Establish and maintain manual and computerized information file filing systems;

  • Record and prepare minutes of meetings;

  • Writing text and making tables;

  • Make reservations for activities;

  • Organize, if necessary, conferences and update calendars;

  • Meet the needs of all other related tasks related to the administration of the organization.

Responsabilités et tâches
Job Requirements 
  • Secondary 5 diploma or a diploma in office technology

  • Two years of administrative experience.

  • Good knowledge of the Microsoft Office suite.

  • Fluency in spoken and written French (good knowledge of spoken and written English an asset)

  • Ability to communicate well and work in a team.

  • Capacity for initiative and autonomy

  • Have an open mind

Exigences du poste
Working conditions

Entry into office: September 6, 2022
Hourly rate: $17.00/hour and more depending on experience (15 hours/week)
Duration of the contract: Indeterminate
